Description

Victoria Academies Trust sought to appoint a single supplier to provide contract cleaning services across its portfolio of primary academies located in the West Midlands and Worcestershire regions. The successful contractor will deliver a full and comprehensive cleaning service, including but not limited to: • Daily classroom and toilet cleaning; • Periodic deep cleans and floor maintenance; • Supply of consumables and equipment; • Supervision, quality control, and staffing management; • Adherence to relevant health and safety legislation and safeguarding requirements. The contract covers approximately [insert total m²] of internal floor area across 10 academies, operating during term time and specified holiday periods, with flexibility for school events and lettings. The estimated total contract value is £[insert total estimated value, e.g., £700,000-£800,000] over an initial three-year term, with an option to extend for a further two years subject to satisfactory performance. The procurement was conducted under the Public Contracts Regulations 2015 and the Procurement Act 2023 using an Open Procedure. Evaluation was based on Most Economically Advantageous Tender (MEAT) criteria, weighted 40% cost and 60% quality.

The contract will be awarded for an initial period of three (3) years, commencing on 1 December 2025, with the option to extend by up to two (2) additional periods of one (1) year each. These optional extensions may be exercised at the sole discretion of Victoria Academies Trust and will be subject to satisfactory performance, continued value for money, and the evolving operational needs of the Trust. Extensions will be considered based on: The supplier meeting or exceeding agreed Key Performance Indicators (KPIs), The supplier's ongoing compliance with legal, safeguarding, and health & safety obligations, The Trust's strategic priorities and budgetary constraints. Each extension will be formally agreed in writing before the expiry of the initial or subsequent term.
